Document and Subscription Expiry Reminder – Free
Track passport, visa, licence and subscription renewal dates · saved in your browser, email optional
Files are processed in your browser. Some tools save drafts locally; keep your own backup of important work.
What is Expiry Reminder?
Expiry Reminder keeps every important expiry and renewal date in one place: passports, visas and residence permits, Iqama, Emirates ID and Qatar ID, driving licences, vehicle tax and bluebook renewal, insurance policies, domain names, web hosting and monthly subscriptions such as streaming or cloud storage. You type a plain name and a date, and the dashboard sorts everything by the number of days left.
Each item shows its date in both AD and Bikram Sambat (BS), so a renewal written as 2083 Kartik on a Nepali notice and a Gregorian date on a Gulf residence card can sit side by side. Colour-coded status — red for expired or within a week, amber within a month, green for later — makes it obvious what needs attention first.
The tool works without an account. Items are saved in your own browser, and you can push them to your phone calendar with alarms, export a CSV or JSON backup, or opt in to email reminders that only start after you confirm your address.
How to use Expiry Reminder
- Choose a quick template such as Passport renewal, Saudi Iqama or Netflix, or type your own name and pick a category
- Enter the expiry or renewal date; the matching Bikram Sambat date appears under the field
- Select when you want to be reminded — for example 30 days, 7 days and 1 day before — and whether the item repeats monthly or yearly
- Press Add item and check the dashboard, which lists everything from the soonest date to the latest
- Use Add to calendar for one item or All to calendar (.ics) to put alarms on your phone or computer calendar
- Optionally tick the items you want emailed, enter your email address and confirm the link we send you

Common uses and a sensible workflow
A worker in Doha can track the QID, the passport and the labour permit back home in one list. A family in Kathmandu can keep vehicle tax, insurance and licence renewals together, while a small business owner lists domain names, hosting and software plans with their monthly cost. A practical routine is to add each document the day you receive it, choose at least one early reminder that leaves time to collect photos and paperwork, and export the list to your calendar so alarms still work when the browser is closed.
Check before you share
The dates and renewal rules come from you, not from any government office or provider. Confirm requirements, fees and processing times with the official authority, embassy or company before relying on a reminder. Some offices need several weeks — passports often need six months of validity for travel — so set an early reminder for anything that involves appointments or document collection.
- Use a plain name such as Passport renewal; never type a passport, citizenship or licence number.
- Add the calendar file to your phone so alarms work even when DocSample is closed.
- Export a JSON backup occasionally, especially before clearing your browser data.
- Items are stored in this browser unless you opt in to email. Browser notifications only appear when the site is open; use the .ics file or email for other reminders.
Privacy and your files
Items you add are stored in your browser's local storage and are not uploaded. If you choose email reminders, only your email address, time zone and each selected item's name, category, date, repeat setting and reminder days are stored on our database so the daily job can email you; notes and costs never leave your device. Nothing is emailed until you confirm, and every email links to a page where you can edit reminders, unsubscribe or delete all your data.
Frequently asked questions
Do I need an account?
No. The dashboard works without sign-up and keeps items in your browser. Email reminders only need an email address that you confirm with one click.
Will I get a reminder if the website is closed?
Browser notifications appear when you open DocSample. For reminders while the site is closed, download the .ics calendar file so your phone calendar raises the alarms, or turn on the optional email reminders.
How are the Bikram Sambat dates calculated?
The tool converts AD dates with a published BS month-length table for BS 2000 to 2090, checked against a second independent table. Dates outside that range show only the AD date.
What is stored if I choose email reminders?
Only your email, your time zone and the selected items' names, categories, dates, repeat settings and reminder days. Notes and costs stay in your browser. Please never enter document numbers.
How do I stop the emails or delete my data?
Every reminder email has an Unsubscribe link and a Manage link. The manage page lets you edit or delete single reminders, unsubscribe from all emails or delete your email address and reminders completely.
What happens with monthly or yearly subscriptions?
Repeating items move to the next date automatically once the current one passes, and their cost is added to the monthly and yearly spend totals for the chosen currency.
